FAQs for Clinics

Here are Frequently Asked Questions (FAQs) for clinic representatives about the Primary Care Experience Survey. More questions? Send us a note: surveys@hqca.ca.

What do I do if a patient has a question about the survey?

Please ask them to contact the HQCA at 1-855-508-8162 or by email at surveys@hqca.ca. Please don’t answer questions about the survey itself or help patients fill it out. If patients request help filling it out, you can suggest that a family member, friend, or the HQCA could help.

How much time is involved for the clinic staff?

If email addresses are already on file, it will take the clinic staff approximately 15 minutes to compile and securely submit the file with the email addresses to the HQCA.

How long does it take the patient to complete the survey?

The survey will take patients approximately 15 minutes to complete. There are approximately 25 core questions in the survey.

What is the response rate to the survey?

The response rate varies from clinic to clinic but is typically over 35 per cent.

Should we survey children?

No. The survey is for patients who are 16 and older. We would include parents who are bringing their children to the clinic.

Can a caregiver complete a survey on behalf of a patient with a cognitive impairment?

We want to ensure all participants have an opportunity to provide their feedback.

Will it be possible to identify patients?

No.  We do not collect patient names or personal information.

Will it be possible to identify primary care providers in the information?

No.  Provider-level results are only given to the individual participating primary care provider. For clinic, primary care network, or provincial-level reports we aggregate results for comparison purposes, but we will not release any information where it is possible to identify a primary care provider.

How long does it take to get my report?

The survey itself takes about three weeks, and then we need about three weeks to prepare the reports. You should have a report in about six weeks from the time the HQCA receives email addresses.

Can the results be used to complete a Physician Practice Improvement Program (PPIP) project?

Yes, feedback from patients gathered via patient surveys is one of the options that can be used to meet the PPIP requirement. More details are available here.

How often should we repeat the survey?

We recommend repeating the survey every 18-24 months so you can observe changes over time.

How much does is cost to conduct the survey?

There is no financial cost to you for participating in the survey. The data collection, analysis, and reporting are provided free of charge by the HQCA.
